Start with the travellers
A family trip needs more detail than a trip between adults. State the number of adults and each child’s age at departure. Explain who will share a room and any particular needs to consider. Do not assume children automatically receive a discount: request a quotation for your actual family configuration.
Clarify room arrangements
A family room can mean different layouts. Ask how many beds are proposed and whether connecting or separate rooms can be arranged. A request for connecting rooms is not a confirmation of availability. Obtain written details for every stage of the itinerary before accepting.
Allow time to rest
Review hotel changes, early starts, sightseeing days and free time. Mention nap requirements at the enquiry stage. Ask how visits and transfers fit together, rather than counting destinations alone. Explore our organised journeys abroad and discuss the specific programme you prefer.
Check schedules and services
Ask about proposed schedules, connections and baggage in the offer. Tell the team if you need suitable child equipment for transfers and request confirmation. Explain meal preferences or restrictions for providers to assess. None of these elements should be assumed included or available without confirmation.
Prepare a useful quotation request
Send your departure city, destination, dates and flexibility, nights, children’s ages, room preferences and indicative total budget. Add two priorities, such as fewer hotel changes and more free time. A tailor-made travel request lets the team consider another arrangement if a standard itinerary does not fit.
Verify formalities separately
Family members may have different administrative circumstances. Check requirements with the relevant authorities according to nationality, destination, transit and the situation of minors. Our visa assistance page provides a contact point, not a guarantee of approval. This article does not prescribe a document list.
A message to personalise
“Hello, we are planning a trip from [city] to [destination], for [adults] adults and [children] children aged [ages at departure]. Our dates are [dates], with [flexibility]. We prefer [rooms] and [pace]. Our indicative total budget is [amount]. Please clarify the programme, services, supplements and applicable terms.”
Before confirmation
Review dates, rooms, services and the change or cancellation terms in the proposal. Read our organised versus tailor-made comparison, then contact our team to request a family programme or quotation. Services and availability require confirmation.
