Define the outcome before choosing a venue
Planning a seminar in Morocco? Start with one sentence describing its purpose: sharing a roadmap, bringing teams together or working on a project. Explain what participants should understand or produce by the end. An attractive venue cannot compensate for insufficient discussion time.
Describe participants and dates
Provide estimated headcount, departure cities, working languages and possible dates. Separate expected numbers from confirmed attendance. Mention accessibility or dietary needs to assess without sending sensitive personal data in the initial brief. Clarify staggered arrivals rather than assuming everyone can share one transfer.
Separate meetings, accommodation and activities
Explain whether you need a meeting day or an overnight event. Describe room requirements, seating layout, possible concurrent sessions and equipment to confirm. Address accommodation, meals and activities separately. Explore our MICE and events service to discuss the project; the proposal will define its actual scope.
Plan travel logistics
Gather departure and arrival points, timing constraints and transport needs. Ask how arrivals from different cities will fit the meeting start. Professional travel tickets and accommodation can be discussed with our Corporate service. Do not assume these are included in an event quotation.
Set a comparable budget framework
State the indicative total budget, what it should cover and expenses your company handles directly. Request a breakdown, options, exclusions and terms. Compare proposals using identical headcount, dates, duration and needs. Per-person prices cannot be compared when the scope differs.
Organise approvals
Name a contact and explain who approves the programme, budget and technical choices. Give the intended decision date and unresolved points. Confirm deadlines and attendance-change or cancellation terms in the proposal. Sending a brief alone does not reserve a venue, activity or service.
A brief to discuss internally
“Our company is preparing a seminar for [estimated headcount] people in [city or area], on [date options]. The objective is [outcome]. We envisage [format and nights], with [meeting needs], [travel] and [activities to assess]. Our indicative budget is [amount and scope]. Our contact is [role], and a decision is expected by [date]. Please detail services, options and terms.”
Measure what matters afterwards
Choose follow-up aligned with the objective: decisions, completed outputs or participant feedback. These are planning suggestions, not promises of commercial results. Contact our team with your brief to request a MICE quotation. Programme, services and availability require confirmation.
